These terms govern all bookings made with Pin & Palm ("we", "us"). By submitting a booking deposit you confirm that you have read and agree to these terms on behalf of yourself and all members of your group.
A retreat is confirmed when we have received your deposit and sent written confirmation. The deposit amount will be confirmed at the time of booking. Your deposit secures the villa and dates for your group exclusively.
The balance of the booking total is due 30 days before your arrival date. If the balance is not received by this date, we reserve the right to release the dates and retain the deposit.
Unless otherwise agreed in writing, your booking includes: exclusive use of the villa for the duration of the retreat, three rounds of golf at Quinta da Ria, Quinta da Cima and Monte Rei, all food and drink at the villa throughout the stay, transport to and from golf courses, a wine tour of the eastern Algarve, two dinners out at local restaurants, a welcome pack, and on-site practice with a launch monitor.
Flights, travel insurance, personal spending, and any additional activities not listed above are not included.
Club rental is available at an additional cost of €200 per person, subject to availability. Any additional activities, excursions or expenses outside the standard itinerary are at your own cost unless agreed in advance.
If you cancel more than 60 days before your arrival date, your deposit will be refunded in full. If you cancel within 60 days of arrival, we will make every effort to move your booking to alternative dates or to source a replacement guest for your place. If neither is possible, the deposit is non-refundable.
We strongly recommend that all guests take out comprehensive travel insurance that covers cancellation, medical expenses, and curtailment before travelling.
In the unlikely event that we need to cancel your retreat due to circumstances beyond our control, we will offer you the choice of an alternative date or a full refund of all monies paid. We will not be liable for any additional costs you may have incurred, including flights or travel costs.
Retreats are available for groups of two to six guests. All guests must be aged 18 or over. The villa is booked exclusively for your group and no other guests will be present during your stay.
You are responsible for the behaviour of all guests in your group during the retreat. Any damage to the villa or its contents caused by guests will be the financial responsibility of the lead booker. We ask that the villa and its surroundings are treated with care and respect.
All guests are responsible for their own travel insurance, valid travel documents, and compliance with any entry requirements for Portugal.
Golf rounds are subject to course availability and weather conditions. In exceptional circumstances a course may need to be substituted, and we will do our best to offer a comparable alternative. No refund will be given for substitutions made necessary by circumstances outside our control.
Pin & Palm takes all reasonable care in arranging and running retreats. We are not liable for any injury, illness, loss, or damage suffered during the retreat unless caused directly by our negligence. Participation in golf and other activities is at each guest's own risk.
If you need to make changes to your booking, please contact us as early as possible. We will do our best to accommodate changes but cannot guarantee this, particularly close to the arrival date.
These terms are governed by Portuguese law. Any disputes will be subject to the jurisdiction of the Portuguese courts.
